This policy explains how we collect, use, share, and protect personal data when you visit our websites and apps, create or use an EventSuite account, interact with events/tickets/venues/meetings, and communicate with us.

3) Roles: controller vs processor

EventSuite is a platform used by tenants (for example, event organisers and venues). Depending on the context, EventSuite may act as a data controller or a data processor.

  • When we operate our own websites, accounts, and platform operations, we are typically the controller.
  • When a tenant uses EventSuite to manage their own attendees/customers, the tenant is typically the controller and EventSuite is the processor acting on the tenant’s instructions.

4) Personal data we collect

Depending on your use of EventSuite, we may collect:

  • Account and profile data (e.g. name, email, phone if provided).
  • Transaction and ticketing data (e.g. orders, confirmations, refunds where applicable).
  • Event/venue/booking/meeting data you submit or that is generated by your actions.
  • Technical and usage data (device/browser information, logs, and performance signals).
  • Communications (messages you send to support).

5) How we use personal data

We use personal data to:

  • provide and operate the EventSuite platform and features;
  • manage accounts and authenticate users;
  • prevent fraud/abuse and keep the platform secure;
  • process orders and ticketing actions where applicable;
  • provide customer support;
  • comply with legal obligations; and
  • with consent where required, measure usage via analytics.

6) Legal bases (UK GDPR / EU GDPR)

Where we are the controller, we rely on one or more of:

  • Contract (to provide the service you requested).
  • Legitimate interests (security, fraud prevention, and improving reliability).
  • Consent (for non-essential cookies/analytics where required).
  • Legal obligation (where we must comply with applicable laws).

Where we are a processor, the tenant (controller) determines the legal basis.

  • Strictly necessary cookies (always on) to operate the service and help keep it secure.
  • Analytics cookies (optional) to understand product usage and improve the platform.

8) Sharing and disclosures

  • tenants (organisers/venues) when you interact with their events/bookings/meetings; and

We do not sell personal data.

Your data may be processed outside the UK/EEA depending on where our providers operate. Where required, we use appropriate safeguards.

10) Data retention

We retain personal data only for as long as necessary for the purposes described above (including legal, accounting, and security requirements). When no longer needed, we delete or anonymise it.

EventSuite is not intended for use by children without appropriate consent and supervision. Tenants are responsible for ensuring they have the right to collect and process attendee data.

We may update this policy from time to time. We will post the updated version with a new “Last updated” date.
